Position Overview:

As a Solver, the Vice President of Operations oversee activities in Engineering, BIM, and SI and ensuring the development and implementation of efficient operations and cost-effective systems to meet current and future needs of the company. Role Functions, Typical Duties, and Metrics: (typical of the position but are not all-encompassing)
1. Solver Team Participation:
-Participate in Solver Team meetings to align progress and proposed solutions with overall company strategy and goals
-Communicate solutions to engineering crews with a consistent and aligned message – No silos
-Get feedback from the Solver Team members on difficult issues; make decisions on how to proceed
-Jointly responsible for the overall engagement and growth of engineers, BIM, and SI
-Travels to other offices to engage with engineers to evaluate project performance, establish areas of growth, and assist with project specific-challenges
2. Design Director Oversight
-Provide support to Design Directors for communicating with their Crew regarding leading productive workflow
-Meets with Design Directors monthly to distribute information on new processes
-Collect common themes regarding identified issues and provide clear process to correct future results
3. Financial Operations:
-Lead project financials (Project Realization and Profitability) and provide reports to Project Leads for action
-Maintain oversight of project lead billing goals in alignment with companywide metrics
-Monitor and keep current companywide fee projections, ensuring backlog of awarded projects is up to date
4. Employee Productivity and Success:
-Work closely with Engineers, BIM, and SI channeling feedback into future trainings and improved guidelines and processes
-Monitors and encourages communication plans/expectations for Crews
-Holds professional development and project management teaching sessions company-wide every quarter
-Works with engineers, BIM, and SI one-on-one to increase efficiency, task prioritization, and client management
-In partnership with EVP of Engineering develop and administer guidelines and processes for performing engineering services (including standardizing calculations) across all offices
-Maintain, schedule, and deliver company Standard Operating Procedures for project management to ensure consistency
-Provide guidance and serve as a mentor to current and aspiring Project Managers
-Works with engineers one-on-one to increase engineering efficiency, task prioritization, and client management
-Create, schedule, and deliver training programs on project workflow for employee development. Duties will include identifying skills or knowledge gaps that need to be addressed; introducing new technologies; maintaining and updating curriculum database with lessons learned and best practices and industry technical changes and advancements
-One on One Project Management training and coaching
5. Business Development and Client Touchpoints:
-Works with All-In Director to translate all-in strengths to project management and client communication

Is capable of assisting project team with interpretation or evaluation of field conditions and laboratory reports. This person may also be capable of performing various non-destructive tests and has surveying capabilities. This position requires exceptional verbal and written communication skills.

Typical Duties:
The following duties are typical of the position, but are not all encompassing. Each person is expected to help out in whatever duties are required to deliver quality products on schedule.
• Provides site observation and Special Inspections for projects assigned. This requires knowledge and experience with all types of earthwork, concrete, masonry, steel, and wood construction.
• Takes photographs of relevant conditions in the field to use as documentation for reports.
• Prepares detailed written reports, opinions and direction for remedial action of discrepancies noted during the field observations and inspections for the approval of the project engineer and distributes to stakeholders.
• Reviews and marks up shop drawings for review and approval of the Project Manager.
• May act as a technical advisor to professional staff during construction phase of projects.
• May assist project engineer during construction, with answering RFIs, interpretation of test results, or contractor change orders, etc.
• May perform constructability reviews of Contract documents.
Limits of Authority:
All major decisions concerning the cost, design, schedule and completion of projects is the responsibility of the project manager, but structural inspector is expected to provide input and make suggestions to the project manager on these issues. Usually has significant contact with General Contractors, SubContractors and sometimes clients, and may attend construction Owner Architect Contractor meetings.
Relationship to Others:
Works directly for the various project managers, and has significant contact with other project team members. May have frequent client contact, if approved by the project manager.

Typical Duties:
- Client billing – (50%)
-Lead monthly client billing process.
-Oversee Project Administrators to ensure billing QC is completed on-time and accurately.
-Prepare monthly billing instructions file.
-Help troubleshoot project & billing terms Deltek set up.
-Complete data entry for monthly billings.
-Perform final billing QC check.
-Generate automated invoice emails.
-Respond to client inquiries.
-Generate special “designer” invoices or submit invoices to client portals as needed.
-Maintain accurate and up-to-date record of client-specific invoicing requirements.
-Assist Project Leads with resolving unbilled time on inactive projects.
-Accounts receivable – (35%)
-Triage communications arriving in the Billings email inbox. Follow up with internal teams as needed to quickly resolve issues and questions.
-Resolve all client inquiries within 2 business days.
-Respond to lien waiver requests
-Respond to certificates of insurance (COI) requests
-Provide payment instructions to clients
-Set up and send secure credit card payment links to clients, and follow up to be sure they have made the payment
-Generate monthly statements (paper and e-statements).
-Record responses from clients regarding payment status
-Follow up with clients who are missing invoice copies
-Update client contact information
-Hold A/R check-ins with Project Leads.
-Direct the project leads how to follow up with clients on outstanding invoice balances.
-Collect the results of project lead reach-outs.
-Communicate with client accounting teams to collect additional information on payment status and triage requests to project teams when needed.
-Escalate collections issues internally to finance lead.
-Manage project, client, and invoice records in Deltek (assist with billing terms set up, contract verification, new client set up, and maintenance of contact information for clients and projects. (5%)
-Participate in new project lead training – Support VP of Finance in training new project leads. Present on the project lead’s role as it relates to finance, including billings review, A/R collections, and anything else as needed. (5%)
-ERP Reporting – Produce accurate reports as needed from Deltek and other business systems for all aspects of the business. (<5%)
-Project Closeout – Assist Project Administration and Resource Manager with project closeout to ensure all labor is billed and all A/R is collected.
-Other duties as assigned.
Position Metrics:
Accurate and timely invoices are essential for the effectively generating cash flow so that we can fulfill the Lynch Mykins Mission, Vision, and Values. To support that, metrics are:
-On-time and Accurate Invoicing: 100% on time and accurate every time
-Client Response Time: How many days does it take to resolve client issues, usually with billing or contract setup? Goal – 2 business days.
-Days Sales Outstanding: How long does it take to collect money from our clients? Goal – DSO less than 90.
Additional metrics and goals may be added as the needs of the company, its culture, and its clients may change.
Candidate Requirements
Degree qualified (preferably in finance or accounting)
3+ years’ experience in accounting, finance, and other related functions
Advanced Microsoft Excel skills
Loves data and accuracy

The right candidate will have extensive knowledge of structural design (different building materials, building codes, engineering calculations and software, etc.) with an attitude that learning is never complete. We are looking for a leader and mentor, not just another engineer—so you must have the ability to lead a team and pass knowledge down to developing staff. The candidate should be currently registered in more than one state. Experience in the design of buildings to resist blast loads as well as progressive collapse, is a benefit.
